Privacy Policy
This policy explains how PPW Sp. z o.o. handles personal data collected through ppwspolka.digital. It covers what we record when you send an enquiry, why we process it, how long it stays with us, and which choices you have.
Data we collect
Two kinds of information reach us: what you type into the contact form, and what the server records on its own while the site is used.
Information you send us
When you submit the contact form we collect your name, your email address and the content of your message. If you add a phone number, we keep that too. Nothing else is required, and the form does not ask for company registration numbers or payment details.
If you write to us by email or call instead, we hold the same basic information: your contact details and the substance of your enquiry.
Information recorded automatically
Our servers log standard technical data when a page is requested: IP address, browser type and version, the pages requested and the time of each request. These logs keep the site running and let us spot abuse, broken links or unusual traffic. They are not used to build marketing profiles of individual visitors.
- IP address of the requesting device
- Browser and operating system type
- Pages requested and referring address
- Date and time of each request
Why we process your data
Every processing activity on this site rests on a stated legal basis. There are two, and they cover different things.
We do not use contact form data for newsletter sends, and we do not pass it to advertising networks.
Answering your enquiry
Contact form data is processed so that we can reply and, where it makes sense, take the first steps toward a business relationship — preparing a scope note, sending service information, arranging a call. This processing follows from the steps you ask us to take before any contract exists.
Keeping the site secure
Server logs are processed on the basis of our legitimate interest in a working, secure website. That interest covers protecting the site from abuse, diagnosing faults and understanding aggregate usage. It does not extend to profiling you as an individual.
Where processing rests on legitimate interest, you may object — see your rights below.
How long we keep data
Retention depends on what the data is for. A short enquiry that goes nowhere does not stay with us indefinitely.
Contact enquiries
Kept while the matter is open and for a reasonable reference period afterwards, then deleted.
Enquiry cycle
Server logs
Retained for a limited period consistent with security and operational needs, then rotated out.
Rolling window
Data tied to a client relationship
Held for the duration of the relationship and for the period required by applicable law, including accounting and tax obligations. After that period it is deleted or anonymised.
Statutory period
Sharing data with others
We do not sell personal data, and we do not trade it with data brokers. Two narrow situations can still involve another party.
Service providers
Hosting and email providers keep our site and inboxes running. They see personal data only as far as the service requires, under written arrangements that limit their use of it to that service. They are not permitted to reuse your details for their own marketing.
Legal obligations and authorities
We may disclose data where the law requires it or where a competent authority makes a lawful request. Where we are allowed to tell you, we will say that a request has been received.
Your rights
These rights apply to the personal data we hold about you. Write to [email protected] and say what you would like us to do.
Access
You can ask what personal data we hold about you and receive a copy of it.
Correction
If something we hold is inaccurate or incomplete, ask us to correct it and we will.
Deletion
You may request deletion where no overriding legal basis requires us to keep the data — for example an open accounting obligation.
Objection and restriction
You may object to processing based on legitimate interest, and ask us to restrict processing while a question is being resolved.
We answer requests in writing at the email address above. If we need to confirm your identity before releasing data, we will ask for the minimum needed to do so.
Cookies and similar technologies
This site uses cookies and similar technologies. Some are needed for the site to function — keeping a session stable, remembering a choice you made. Others may be used to understand how pages are read in aggregate.
Where consent is required for a particular cookie, it is requested before that cookie is set. You can change or withdraw a choice at any time, and you can also manage cookies in your browser settings.
Security
We apply technical and organisational measures intended to protect personal data against unauthorised access, alteration or loss. These cover how the site is hosted, how access to the systems behind it is granted, and how long records are kept.
No method of transmission or storage is entirely free of risk, and we review our measures as circumstances change. If a breach affecting your data occurs, we handle it as the law requires, including notifying you and the supervisory authority where the threshold is met.
Practical note: send only what we need. A first enquiry rarely requires confidential documents — describe the project and we will say what else is useful.
Changes to this policy
We may update this policy to reflect changes in our practices or in applicable law. The current version is always the one published on this page, so the text you are reading is the version in force.
If a change materially affects how we handle your data, we will make that clear on the site rather than leaving it to a silent edit. Where the law requires it, we will ask for your consent again.
Complaints and contact
If you believe your data has been handled unlawfully, you may lodge a complaint with the supervisory authority responsible for personal data protection in Poland.
Raising the matter with us first is often the quickest route — we can explain what we hold and correct a mistake directly.
Data enquiries
For any question about this policy or about your data, contact PPW Sp. z o.o. directly.

Questions we hear about this policy
Short answers to the points that come up most often when clients read this page before sending a brief.
Do I have to give a phone number to send an enquiry?
No. Name, email and message are enough for us to reply. A phone number helps when a project needs a quick back-and-forth, but it stays optional.
Is my enquiry used for marketing?
Contact form data is used to answer you and to prepare a possible engagement. We do not add you to a newsletter list without asking, and we do not sell the data to anyone.
How fast will I hear back about a data request?
We confirm receipt and then answer in writing. If we need to verify who you are before releasing data, that check is the only thing that adds time.
Where do I check what cookies this site sets?
The Cookie Policy sets out what is used and how you can control it. Where consent is needed for a cookie, it is requested before the cookie is set.
